How to send your leads to Google Sheets
Last updated
Plans: Free: not included · Pro: not included · Scale: included
On the Scale plan, open Lead Inbox, then Integrations, and click “Connect Google Sheets”. Replavia creates a spreadsheet in your Google Drive and adds each new lead as a row within about 30 minutes.
Open Integrations →Before you start
- Google Sheets sync is on the Scale plan. On other plans, the card shows Upgrade to Scale.
- Confirm your email address first. Replavia will not connect a tool that receives your leads until your email is verified.
- Only leads captured after you connect are added. Older leads are not copied over. Use Export CSV in Lead Inbox for those.
Steps
- Open Lead Inbox in the menu, then the Integrations tab.
- On the Google Sheets card, click Connect Google Sheets.
- Sign in to Google and accept every permission on the consent screen.
- Replavia creates a new spreadsheet in your Google Drive. Click Open the sheet to see it.
You can rename the file, move it or share it like any other file.
Replavia asks Google only for access to files it creates. It cannot read or change your other files.

| Column | What it holds |
|---|---|
| Lead ID | Replavia’s own id for the lead |
| Name | The person’s Instagram username |
| The email they shared, if any | |
| Phone | The phone number they shared, if any |
| Automation | The automation that captured them |
| Status | The lead’s status when it was added |
| Captured (date, UTC) | The day the lead was captured |
The sheet never holds the person’s Instagram user id.
How often it syncs
New leads are added within about 30 minutes. Click Sync now to send them at once.
Each lead is added once. Later changes in Replavia, like a new status, do not update the row. Your own edits, sorting and formulas in the sheet are left alone.
Under the buttons, the card shows when Replavia last checked and how many leads it has sent since you connected.
When someone unsends or opts out
If a person unsends the message that held their email or phone, or replies STOP, Replavia blanks their name, email and phone in your sheet. The row and its Lead ID stay in place, so your rows do not move. The same happens if a person asks for their data to be deleted.
If you delete a lead in Replavia, its row stays in the sheet. Delete it there yourself if you want it gone.
Disconnect
Click Disconnect on the card. New leads stop being added. Your spreadsheet stays in your Drive exactly as it is.
If you leave the Scale plan, syncing stops and the connection is switched off.
Troubleshooting
- The sheet is empty: no new lead has arrived since you connected. Leads from before are never added. Capture a fresh lead, then click Sync now.
- “Nothing new to send”: this is not an error. Every lead since you connected is already in the sheet.
- Google access was revoked or expired: click Reconnect Google Sheets. New leads wait until you reconnect. They are not lost.
- Google did not grant long-lived access: connect again and accept every permission on the Google screen.
- You are looking at the wrong file: always use Open the sheet, especially after a reconnect. It opens the file Replavia writes to now.
